HireHyve Global Privacy Policy
Effective Date: January 1, 2026 • Version: 2.4 (Enterprise Edition)
At HireHyve ("we", "our", or "us"), protecting the confidentiality, integrity, and privacy of our clients' operational data, medical records, financial figures, and personally identifiable information (PII) is foundational to everything we do. This Privacy Policy details how we collect, handle, safeguard, process, and permanently dispose of information entrusted to us.
Core Confidentiality Promise
HireHyve operates solely as a secure data processor. We never monetize, sell, lease, or share your proprietary datasets with any third party. Your files remain your exclusive intellectual property at all times.
1. Information We Collect and Process
In delivering our specialized data entry, document digitization, e-commerce catalog management, and verification services, we may interact with the following categories of data:
- Client Account Information: Name, professional email address, corporate telephone number, billing address, and job title provided when requesting a consultation, quote, or project onboarding.
- Operational Client Datasets: Spreadsheets, invoices, receipts, patient EHR charts, legal contracts, surveys, handwritten scans, and inventory feeds provided by you for data transcription, reconciliation, or cleansing.
- Technical System Logs: Anonymized server logs, IP addresses, browser specifications, and session timestamps captured strictly for security audits, rate-limiting, and fraud prevention.
2. Permitted Use of Client Information
We use collected information strictly to fulfill our contractual service obligations:
- To perform accurate data entry, verification, transcription, OCR error correction, and formatting as defined in your Scope of Work (SOW).
- To maintain secure direct communication regarding task progress, milestones, and deliverable delivery.
- To process authorized payments, invoices, and accounting records.
- To ensure adherence to applicable regulatory standards, including HIPAA and GDPR.
3. Data Protection & Security Architecture
HireHyve implements multi-layered enterprise defense systems to prevent unauthorized access, accidental alteration, or data leaks:
- 256-Bit SSL/TLS Encryption: All data transmitted between your local network and our secure cloud infrastructure is protected using high-grade Transport Layer Security (TLS 1.3).
- Isolated Virtual Workstations: Data specialists work within access-restricted, sandboxed virtual desktop environments with external USB, printing, and clipboard transfer restrictions enabled.
- Strict Non-Disclosure Agreements (NDAs): Every specialist, quality analyst, and project supervisor is legally bound by individual confidentiality agreements with stringent penalty clauses.
- Role-Based Access Control (RBAC): Only personnel directly assigned to your specific dataset are granted temporary, logged access.
4. HIPAA & GDPR Compliance Statement
Healthcare & International Standards
For healthcare providers, our operations strictly conform to the Health Insurance Portability and Accountability Act (HIPAA). For European and international enterprises, we comply with GDPR guidelines, supporting standard data processing agreements (DPAs) and honoring the Right to Erasure upon request.
5. Data Retention & Secure Destruction Policy
Unless a custom retention protocol is specified in your Master Services Agreement:
- Processed deliverables and source batches are retained on our encrypted servers for a standard period of 30 calendar days post-delivery to allow for verification and free revisions.
- Upon expiration of the 30-day window, or immediately upon written client request, all raw source files and interim worksheets are permanently wiped using DoD-standard digital shredding protocols.
6. Third-Party Disclosures
We do not disclose, distribute, or transfer client datasets to third-party vendors or subcontractors without prior explicit written consent from the client, except where strictly required by law enforcement or valid judicial subpoenas.
